We had an SGM on Feb 11, at 2pm, in #ppnz

Provisional Agenda:
  • planning for O-Week
    • material and tips
    • appoint people in charge of specific campuses
  • Graphics discussion
    • logo developments
    • media 'unit' plans - other design work coming up, who and when to help out on it
  • Reconsider the membership term.
    • Extend memberships to three years (maximum allowed by electoral law)?
    • Expire all memberships at the same time?
    • When to expire? (suggest immediately following the first AGM after a general election)
  • Policy Committee
    • Changes to scope of Policy Committee
    • Set electoral term of Policy Committee, next election planned for 11-18 March
  • Audit suggestion - should help new volunteers understand the current situation
  • Local / Young Pirates meetings and elections to be held afterwards

Add to policy committee the task of researching strategies on how to achieve our policies.

To task policy commitee with regularly checking parliament for any updates on legislation to do with us and to alert and lead the party on any submission opportunities. We want the policy comittee to actually commit to research and news filtering tasks, (including analysis and reporting if anyone has undertaken a course in researching or has experience in research fields.)

Regular graphics meetings as Pervach said - with constant ways to update advertising and active work on our graphics and art among the team. Also to have the Media Adviser become principle adviser to interviewees beforehand aka to become a sort of publicist (as so to prepare interviewees to say the right things). Also for media adviser to go back and have a look at the pirate party membership cards...

To look at the CRM system we were going to look at and the Database which was sort of confusing and/or not given much attention at the last SGM.

To organise which days people are generally free and want to spend volunteering in any capacity. Even Greenpeace and the Red Cross has a type of volunteer staff roster (but we wouldn't be nearly as strict). - otherwise The secretary to keep a events diary and/or use a calender to show regular meetings and events on a website.

Financial status from the treasurer - and to be tasked with budgeting of the party when it comes time to start using funds. For things like O-Week.

See whats up with our chapter leaders, and for chapter leaders to ask if we can put printed material at student association offices.

Those are some ideas right now...Mark...

Since I won't be at the meeting I'll express a few views here:

I think that membership terms should be at three years because it means that people don't have to renew as often. It takes some work to get members and right now we are still struggling to get to 500. I don't want that to still be a barrier to us in 2014 and we can always lower the term later on when we have a comfortable number of members.

I think that rather than trying to keep track of when everyone's individual memberships expire we should set a certain date that all memberships expire (I think immediately following the first AGM after a general election would be good). Then we can go after everyone to renew at once, and start working for new memberships after that and know that they will all be valid up through the next election.

New Zealand electoral law allows for memberships to last up to three years.

Planned motions about the membership term:

to set the term of membership to 3 years, including the current year

to consider each year of membership to be from 20 February to 19 February the following year
